-          All faxes received on a the Virtual Fax solution are archived for 5 years – at no cost to your infrastructure or additional resource overheads

-          Less paper and toner are used due to faxes being delivered to an e-mail inbox and not printed automatically on a fax machine which equates to further  cost saving.

-          Each fax received has a unique tracking number ensuring that NO fax will ever get “lost”.

-          Each user registered on the Virtual Fax platform is assigned their own Personal Fax inbox on the Virtual Fax server which can be accessed via a secure login via the web.

 Why should you receive faxes on the Virtual Fax to e-mail solution rather than the 0866/0865/0862/085 fax to e-mail solution? :

-          Did you know sending a fax to a 0866/0865/0862/085 fax number is charged at R1.60 per minute, billed per minute? A significant and unnecessary charge to your Clients and Partners

-          Virtual Fax to e-mail is charged at 80c per minute which is half the rate to your customers compared to traditional fax to e-mail solutions.

-          When a fax is received on the traditional (0866) fax to email solution and it exceeds the users email quota, the fax is rejected – with Virtual Fax, the settings are “User Defined” and irrespective of the size of the fax, the user will receive the attachment or a link to view the fax on-line before downloading.

Sending Of Faxes

When evaluating the best solution for Fax Transmission, the following three items need to be considered:

Transmission Speed:

Virtual Fax uses V-Fast technology which enables the sender to transmit faxes up to 3 times faster than normal faxing which has a major bearing on the cost savings element on fax transmission. 

Call charges: 

Virtual Fax is the only Fax Company in South Africa that provides per second billing on all faxes sent irrespective of the destination.

 E-Mail To Fax/Print To Fax

Utilizing the Virtual Fax platform the user can send faxes at lower rates billed per second and much quicker using the following options or methods: 

-          E-mail to Fax : the user can send a fax directly from his/her e-mail just by adding the fax destination fax number in the “To” Field in their  email client/program, select “Send” and the fax is transmitted.

-          Print to Fax:  the customer installs a print driver provided by Virtual Fax on their personal PC and faxes are transmitted by selecting “print to Virtual Fax” and the transmission is complete.    

-          Fax Scan:  In the case of faxes being sent manually and with a lot of human intervention i.e. documentation being signed etc., a traditional fax machine is still required to send faxes. The Fax Scan device is a device that connects to the back of the fax machine and in turn connects to the internet which enables the transmission of traditional faxes via the Internet at the reduced rates and higher speeds offered by Virtual Fax.

 MFC (Multi Function Copier) To Fax

What do you require? 

To implement Virtual Fax on your Multi Function Machine you require the following on the machine:

1.       An e-mail address that is connected to the MFP.

2.       Internet connectivity to the MFP.

3.       The MFP must have scan to e-mail functionality.

How does it work? 

When the user of the Multi Function Machine would like to send information to a recipient there are two ways of achieving this goal:

-          Sending an e-mail

-          Sending a fax

When sending a fax the traditional way, the user of the MFP device will insert the document; select the fax function and send to the selected fax number. 

Sending a fax with the Virtual Fax option:

With Virtual Fax the user of the MFP device will insert the document into the MFP; select the e-mail function and send an e-mail to destination_faxnumber@faxsend.co.za.

Why use the Virtual Fax option on your MFP device. 

-          All faxes sent using Virtual Fax is billed per second and not per minute as per normal.

-          Better call rates using the Virtual Fax sending facilities.

-          When a fax is sent using the Virtual Fax system retries are done by the Virtual Fax system if the recipient line is busy, thus freeing up your line for incoming faxes on your MFP device.
